Formzapp
Webhooks & Zapier

For Formzapp customers

Connect Formzapp to the rest of your business

If you use Zapier, Make, a spreadsheet, or your own software, Formzapp can tell it the instant a job is completed or an invoice is raised — no manual copying, no checking back. Here's what that means and how to switch it on.

What is a webhook?

A webhook is just a notification your website or app receives automatically. Instead of you (or a customer) having to log in and check for updates, Formzapp sends the news straight to a web address you choose, the moment it happens.

Think of it like a text message Formzapp sends to another piece of software: "job just finished — here are the details." That other software (often Zapier) then takes it from there.

What triggers it

Two things send a notification:

job.createdA job form has been completed and saved — customer name, job date, form type, and more.
invoice.createdAn invoice has been raised — invoice number, amount due, dates and status.

How to connect it to Zapier

No coding needed — about five minutes, done once.

  1. Create a ZapIn Zapier, start a new Zap and choose "Webhooks by Zapier" as the trigger app, then pick "Catch Hook."
  2. Copy the webhook URL Zapier gives youZapier generates a unique web address for this Zap — copy it.
  3. Paste it into FormzappIn the Formzapp app, go to Settings → Webhook and paste the URL into the Webhook URL field, then save. (Owner accounts only.)
  4. Test itComplete a job form or raise an invoice in Formzapp. Back in Zapier, it should catch that test and show you the data that arrived.
  5. Build what happens nextFrom there it's standard Zapier — add a step to log it in a Google Sheet, post to Slack, add a row to your accounting software, text the customer, whatever's useful to you.

What Formzapp actually sends

A small package of information (JSON), sent straight to your webhook URL. For a completed job, it looks roughly like this:

{
  "event": "job.created",
  "company_id": "…",
  "fired_at": "2026-09-29T10:15:00Z",
  "data": {
    "job_id": "…",
    "form_name": "Boiler Service",
    "customer_name": "Jane Smith",
    "job_date": "2026-09-29"
  }
}
Do I need to be technical to use this?
No — Zapier's "Catch Hook" step handles the technical side. You're just pasting one web address into a settings field.
Will this slow down saving a job?
No. It's sent in the background after the job or invoice is already saved, so it never holds up you or your engineers on site.
What if I don't set a webhook URL?
Nothing changes for you — it's entirely optional and off by default.
Who can set it up?
Company owners, from Settings inside the Formzapp app.
Can I use Make (formerly Integromat) instead of Zapier?
Yes — any tool that can "catch" an incoming webhook works the same way, Make included.
